Introduction

The technical team visited the Shashivushion Center for two days, from April 6 to April 7, 2026. The main goal of this visit was to look over the whole system workflow, improve data quality, and make devices and data safer. The technical team worked closely with staff on the ground to find areas where the system could be improved, make security improvements, and get feedback for future system improvements.

Event Details

Data Quality Meeting:

  • Meeting about Data Quality:

We had a special meeting with the on-site team to talk about how to improve the quality of patient data, make sure it is entered correctly, and streamline workflows. Some of the things that were talked about were how to make the application easier to use and how to make sure that the data is more accurate by using the system's features correctly.

  • Review of the system's flow and operations:

We watched and confirmed the entire treatment process for the patient, which included registration, health tests, vision tests, the fundus image process, the optometrist's workflow, and the overall end-to-end patient flow, including the prescription lifecycle.
We found existing operational gaps and made suggestions for how to make the process better.

  • Putting in place security improvements:

There were a lot of security measures put in place on-site computers, such as:
Installing antivirus software and checking its status.
Using a firewall and host configuration to block access to social media sites like Facebook and Gmail.

• Security Fix :
Significant security measures were implemented on-site, including:

  • Antivirus installation and status verification
  • Social media (e.g., Facebook) and Gmail access restriction using firewall and host configuration
  • Creation of two separate user roles (Admin & General User)
    • Admin access restricted and assigned to Project Coordinator
    • General user configured for regular operational tasks
  • USB port restriction and system-level access control

AnyDesk installation with controlled remote access
These measures were taken to ensure data protection and prevent unauthorized access or data leakage.

Fundus Image Security Measures:
Security checks were performed to prevent unauthorized access or transfer of fundus images. Measures were reviewed to avoid image sharing from multiple locations or unauthorized third-party access.

Environment & Field Assessment:
The overall site environment was evaluated. A field visit was conducted at Char Noluya Red Crescent Secondary School mobile camp to observe ongoing activities and service delivery.

Patient Experience & Feedback:
Patient flow and queue management were observed. Direct feedback was collected from patients, and overall satisfaction with the service was found to be positive.

Expected Outcomes:

• Better understanding and documentation of system workflow
• Identification of operational gaps and improvement areas
• Strengthened security implementation
• Improved data quality practices
• Enhanced patient service experience
